# Calendar integrations

> Connect Google Calendar, Outlook, Cal.com, or Calendly so Guhan can send booking links and record meetings.

**Connect the calendar you already use. Google and Outlook ride on your email sender's sign-in. Cal.com and Calendly use your booking link plus a one-time token.**

Connect once under Settings, Calendars. Each rep connects their own.

> [card] Google Calendar
>
> Uses your connected Gmail sender. Guhan hosts the booking page and reads your availability.

> [card] Outlook Calendar
>
> Uses your connected Outlook sender. Same experience as Google.

> [card] Cal.com

> Paste your booking link and a Cal.com API key. Guhan sets up the booking webhook on your Cal.com account for you.

> Paste your event URL and a Calendly Personal Access Token. Guhan sets up the webhook subscription on your Calendly account for you.

## Google Calendar and Outlook

These need a connected email sender of the same kind first. The calendar uses that sender's sign-in, so there is no second login.

**1. Connect the email sender**

If you have not already, connect Gmail or Outlook under Settings, Sender accounts. See [Connect email](https://docs.outzen.ai/get-started/sender-accounts/connect-email.md). When you approve access, approve the calendar permissions too. If you leave those boxes unticked, the calendar cannot work.

**2. Open Settings, Calendars and connect**

Click **Connect calendar**, pick **Google Calendar** or **Outlook Calendar** as the source, and click **Continue**. Admins can connect on behalf of a teammate. Teammates who already have a calendar are greyed out.

**3. Pick the sender that hosts your bookings**

Choose which email sender to use.

**4. Finish setup**

Confirm your timezone, which calendar bookings should go on (if you have more than one), your meeting room, and your working hours and days.

**Meeting room options:** the platform default (a Google Meet or Teams link added to every booking automatically), Zoom (you paste your personal room link), or a custom meeting URL.

**Availability:** open times come from your working hours and days, minus anything marked busy on your calendar.

After setup, the calendar row has a **Copy public booking link** button for a link you can share anywhere.

## Cal.com

Guhan sets up the booking webhook on your Cal.com account for you — you just paste your booking link and an API key.

**1. Get a Cal.com API key**

In Cal.com, go to **Settings → Developer → API keys** and create a new key. Copy it before you leave the page — Cal.com only shows it once.

**2. Connect in Guhan**

Settings, Calendars, **Connect calendar**, pick **Cal.com**. Paste your booking link (for example `https://cal.com/your-handle/intro30`) and the API key you just created.

**3. Done**

Guhan registers the webhook on your Cal.com account automatically and marks the calendar active. Every booking, cancel, and reschedule flows into Guhan from this point on.

## Calendly

Guhan sets up the webhook subscription on your Calendly account for you — you just paste your event URL and a Personal Access Token.

**1. Get a Calendly Personal Access Token**

In Calendly, go to **Integrations & apps → API & webhooks** and create a Personal Access Token. Copy it before you leave the page — Calendly only shows it once.

> [!NOTE]
>
> Creating a webhook subscription needs a paid Calendly plan (Standard, Teams, Enterprise, or Professional / Standard Plus / Teams Plus). If you're on Free, Guhan will say so and point you to upgrade in Calendly.

**2. Connect in Guhan**

Settings, Calendars, **Connect calendar**, pick **Calendly**. Paste your event URL (for example `https://calendly.com/your-handle/30min`) and the token you just created.

**3. Done**

Guhan registers the webhook subscription on your Calendly account automatically and marks the calendar active. Every new and canceled booking flows into Guhan from this point on.

> [!NOTE]
>
> Guhan stores your Cal.com API key and Calendly Personal Access Token encrypted at rest and only uses them to manage the booking webhook on your account. The booking link itself is appended with a hidden tracking tag so Guhan can match each booking to the prospect it was sent to. Slots, meeting length, questions, and video links stay under your control in that tool.

## Which one should I use?

> [accordion] I do not have a scheduling tool
>
> Use Google or Outlook. Guhan hosts the booking page for you.

> [accordion] I already use Cal.com or Calendly
>
> Keep it. You get all of its features, and Guhan still records the meetings.

> [accordion] Several reps
>
> Each rep connects their own. A booking link goes against the calendar of the person who sends it.

You can set a workspace default scheduling tool under Settings, Calendars. Each rep can choose their own. See [Meetings](https://docs.outzen.ai/meetings/overview.md#meeting-defaults).

## Reconnecting and disconnecting

If a calendar loses access, Guhan prompts you to reconnect. For Google and Outlook, reconnecting goes through the same sign-in as your email sender. If the calendar permission was not granted, Guhan says so and asks you to reconnect and approve every box.

To remove a calendar, use the disconnect button on its row. Meetings already booked are kept. If booking links from that calendar are still in use, Guhan warns you. Without a connected calendar, **Send link** in the Inbox will not work until you connect another.

## If something's off

> [accordion] Google or Outlook is not offered, or says no sender is connected
>
> Connect the matching email sender first. See [Connect email](https://docs.outzen.ai/get-started/sender-accounts/connect-email.md).

> [accordion] Calendar permission missing
>
> The calendar boxes were not approved during sign-in. Reconnect and approve every permission.

> [accordion] Cal.com or Calendly connect says the token didn't work
>
> Create a new one and paste it in. Cal.com API keys live under **Settings → Developer → API keys**. Calendly tokens live under **Integrations & apps → API & webhooks**. Both only display the token once at creation, so start fresh if you lost yours.

> [accordion] Calendly connect says I need a paid plan
>
> Calendly only lets paid plans create webhook subscriptions. Upgrade to Standard, Teams, or Enterprise (Professional, Standard Plus, and Teams Plus also work), then try again.

> [accordion] Bookings aren't flowing into Guhan
>
> Open Settings, Calendars, and check that the row is **Active**. If it says Disconnected, reconnect it with a fresh token.
